1. Overview

Loopflake ("we", "us", "our") operates loopflake.com. This policy explains what information we collect, how we use it, and your rights regarding that information. By using Loopflake you agree to the practices described here.

2. Information We Collect

  • Account information — email address and password (hashed) when you create an account.
  • Meeting content — transcript text you upload or paste for processing.
  • Audio recordings — if you use the recording feature, the audio of your meeting, including participants’ voices. It is used only to create your transcript and is deleted once the transcript exists (see section 5).
  • Usage data — number of meetings processed, plan tier, feature interactions.
  • Billing information — payment processing is handled entirely by Stripe (a PCI-compliant payment processor). We do not store card numbers or payment details.

3. How We Use Your Information

  • To provide and operate the Loopflake service.
  • To process your meeting transcripts and generate diagrams and summaries.
  • To manage your account, subscription, and billing.
  • To send transactional emails (account confirmation, password reset, billing receipts).
  • To monitor service health, diagnose errors, and improve reliability.

4. AI Processing and Your Data

Your meeting content is processed using AI solely to generate the diagrams, summaries, and insights you request. We do not use your meeting content, recordings, or transcripts to train AI models, and we do not permit the AI and transcription providers we work with to use them for training their own models either — that restriction is part of our agreements with them. We never sell your content or share it for advertising. Providers may use your content only to deliver the service to you.

5. Audio Recordings

If you use the recording feature, we capture the audio of your meeting — which includes the voices of everyone present — for one purpose only: producing your transcript.

We do not keep the audio. Once the transcript has been created, the recording is deleted automatically. While it exists, it is held in encrypted storage that only your account can reach, and it is sent to our transcription provider solely to be transcribed. If a transcription fails, the audio is kept only long enough for a limited number of retries and is then deleted. Your transcript and the meeting outputs remain in your account until you delete them.

If you record other people, you decide what is recorded and you are responsible for the notices and consent described in our Terms of Service. If your voice appears in a recording made by someone else and you want it removed, contact us and we will act on your request — though in most cases the audio will already have been deleted, and only the transcript will remain.

6. Data Storage and Security

We take the security of your data seriously and implement industry-standard measures to protect it — including encryption in transit (TLS) and at rest, secure cloud infrastructure, and strict access controls. You stay in control of your data and can delete it at any time. As with any online service, no method of transmission or storage is 100% secure, but we work hard to safeguard your information.

7. Data Retention and Deletion

You may delete individual meetings from your account at any time. To request full deletion of your account and associated data, contact us at hello@loopflake.com. We will process deletion requests within 30 days. Some data may be retained for legal or billing compliance purposes as required by law.

8. Service Providers

Your data is used only to power Loopflake's core features — AI processing to generate your diagrams, summaries, and insights, and secure payment processing through Stripe for billing. We do not sell, rent, or share your data for advertising.

9. Cookies

We use session cookies required for authentication. We do not use third-party advertising or tracking cookies.

10. Your Rights

You can review and update your profile and delete individual meetings at any time from within the app. Depending on your location, you may also have rights under privacy laws such as GDPR or CCPA — including to access, export, or delete your personal data. To make a request, just email us at hello@loopflake.com and we'll take care of it.

11. Children

Loopflake is not directed to children under 16. We do not knowingly collect personal information from children under 16.

12. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated by updating the "Last updated" date above. Continued use of the service after changes constitutes acceptance of the updated policy.
